LVS Holiday Prize Draw Terms and Conditions
Definitions
- Promoter: Medivet Group Limited (company no. 03481736), First Floor, Hyde, 38 Clarendon Road, Watford, England, WD17 1HZ.
- Promotion Name: London Vet Show Holiday Prize Draw 2025

- Promotion Period: 8am November 20th 2025 to 8pm November 21st 2025 UK time.
- Territory: United Kingdom.
- Eligible Entrants: UK residents aged 18 or over at the time of entry.
- Entry Mechanic: Submit the on-stand entry form at London Vet Show 2025.
- Entry Limit: One entry per person.
- Prize: One Holiday travel voucher up to £5,000 including taxes and fees. Voucher provider (Choice between TUI or Virgin)
- Excluded Costs: Insurance, visas, transfers, meals, spending money, and anything not expressly included.
- Draw Method: Random computer process producing verifiably random results.
- Winner Notification: By email within 7 days of the draw.
- Claim Deadline: 14 days from first notification.
- Fulfilment Timing: Prize issued within 30 days of winner verification unless agreed otherwise.

Eligibility
1.1 The Promotion is open to Eligible Entrants in the Territory during the Promotion Period.
1.2 Employees, partners or contractors of the Promoter or its holding or subsidiary companies, its agencies, and their immediate families or households are not eligible.
1.3 The Entry Limit applies. Entries on behalf of another person and bulk entries are not accepted.
1.4 No purchase is required. Participation in the London Vet Show is independent of the Promotion.

How to enter
2.1 Follow the Entry Mechanic during the Promotion Period.
2.2 Entries that are incomplete, illegible, duplicated, made outside the Promotion Period or made via bots or macros are void.
2.3 The Promoter will not accept responsibility for entries not received due to technical faults beyond its control.

The prize
3.1 The Prize is as described in the Definitions.
3.2 The Prize is non-negotiable, non-transferable and no cash alternative is offered, except the Promoter may offer an alternative of equal or higher value if the Prize, or any element, becomes unavailable.
3.3 Travel bookings are subject to the chosen supplier’s terms. The winner is responsible for Excluded Costs. The winner must hold valid travel documents for the chosen destination.

Winner selection and verification
4.1 Within 5 working days of the end of the Promotion Period, the Promoter will conduct the draw using the Draw Method. A record of the draw will be kept for at least 12 months.
4.2 The Promoter may require proof of age, identity, and eligibility. If required documents are not provided by the Claim Deadline, the entry will be disqualified and the Promoter may draw a reserve winner.

Notification and prize claim
5.1 The winner will be contacted via the contact details supplied at entry, in line with Winner Notification.
5.2 If the winner does not respond by the Claim Deadline, or is ineligible, the Promoter may award the Prize to a reserve drawn at the same time as the original draw.
5.3 Prize fulfilment will follow the Fulfilment Timing.

Publicity and winners’ list
6.1 The Promoter will either publish or make available information to show that a valid award took place, ordinarily the winner’s surname and county. If the winner objects or requests redaction, the Promoter will honour that request and provide the information to the Advertising Standards Authority on request.
6.2 The winner may be asked to participate in reasonable publicity related to the Promotion without further payment.

Data protection
7.1 The Promoter is the data controller. Personal data will be processed to administer the Promotion and, if opted in, to send marketing communications.
7.2 The lawful basis for administration is legitimate interests. Marketing by email or SMS will only be sent where the entrant has opted in, unless another lawful route applies. Entrants can withdraw consent or opt out at any time.

General
8.1 The Promoter may reject entries that breach these terms.
8.2 If events outside the Promoter’s control materially affect the Promotion, the Promoter may suspend or amend it where fair and necessary. Any change will be notified at the Promotional Site.
8.3 The Promoter reserves the right to hold void, suspend, cancel, or amend the prize competition where it becomes necessary to do so
8.4 The Promoter’s decision regarding any aspect of the Promotion is final.
8.5 Insofar as is permitted by law, the Promoter, its agents or distributors will not in any circumstances be responsible or liable to compensate the winner or accept any liability for any loss, damage, personal injury or death occurring as a result of taking up the prize except where it is caused by the negligence of the Promoter, its agents or distributors or that of their employees. Your statutory rights are not affected.
8.6 These terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction.

Scope
This privacy notice relates to personal data communicated or made available to Medivet in respect of the Draw.
Data which might possibly be communicated or made available to us
- Entry details: names, email or other addresses, phone numbers, age, information relating to your career or potential career role, and information relating to time, date and source of entry.
- Game and draw data: entry ID, timestamp, audit log of the random draw.
- Winner’s data: proof of age and identity, postal address or other delivery details for purposes of delivery or provision of the prize.
- Marketing preferences: your tick-box choices on whether you wish to receive email and/or SMS marketing communications.
- Technical data: IP address, device data and online identifiers captured by the Medivet website and cookie tools thereon. See “Cookies” below.
We do not request, and you must not provide, any special category data (for example, race; ethnic origin; political opinions; religious or philosophical beliefs; genetic, health or biometric data, or sexual orientation). If the winner wishes, in their absolute discretion, to share health or accessibility information for purposes of facilitating delivery or provision of the prize, this is a matter between them and the relevant logistics company, and such information must not be provided to us. The logistics company will have its own terms and conditions regulating its relationship with the winner.
The Draw is for people aged 18 or over. We do not request, and you must not provide, children’s personal data.
Why we use your data, and the lawful bases for us doing so
We only use personal data to the extent the law allows us to. When we process personal data, we are required to identify and maintain a valid "lawful basis" (i.e. a legally compliant justification) for the processing:
- We may use your personal data for the following purposes, our lawful basis for doing so being our legitimate interest in promoting and marketing our brand, business, products and services and, in pursuance thereof, operating the Draw in a fair manner, and, in doing so, meeting advertising rules and applicable laws and regulations:
- To run the Draw, to validate that entries meet the qualifying criteria, to pick a winner, to contact the winner and to verify that the person we speak to is the person who has been selected as the winner.
- To publish or make available winner details to evidence that a valid award has been made.
- To prevent or detect abuse, a crime, or any fraudulent, dishonest or unlawful acts in relation to, or arising out of, the Draw.
- To handle questions, complaints and disputes in relation to the Draw.
- For website security and analytics.
- We may use your personal data for purposes of sending you direct marketing by email or SMS if you consent to us doing so. Our lawful basis for using your personal data to send direct marketing by email or SMS is your consent. Consent to direct marketing by email or SMS is optional and you can enter into the Draw without granting that consent. If you do grant that consent, you can withdraw it at any time.
Who we might share personal data with
- The following service providers who we work with, and/or who provide products or services in relation to, or in order to enable us to run, the Draw, including;
- Service providers that will capture entry forms and their contents, store entries, or otherwise help up to run the Draw.
- Prize suppliers and logistics companies to arrange for the prize to be delivered or provided to the winner.
Such service providers, suppliers and companies act under contracts with us which require them to comply with data processing laws, to follow our instructions and to use personal data for specified limited purposes only. They will process data under their own policies and terms and conditions. We do not assume responsibility for any failure by any such service providers, suppliers and companies to comply with contracts, terms and conditions or data processing laws.
- The Advertising Standards Authority if they request proof that a valid award was made.
- Tax authorities, anti-money laundering bodies, and other regulatory bodies, government departments or agencies and law enforcement bodies where we believe that we’re required to disclose such data due to legal or regulatory requirements or to protect your interests or those of any third party.
- Our professional advisors including tax, legal, accounting, insurance brokers or other corporate advisors who provide professional services to us.
- Prospective sellers or buyers in the event that we consider selling or buying any business or assets.
- Other entities in our group and our shareholders and other investors as part of the administration of our business. For example, we may share personal information as part of our regular reporting activities on company performance, in the context of a business reorganisation or group restructuring exercise, for system maintenance support and hosting of data; or
- Other third party where you have consented to such disclosure.
- Direct marketing, media and advertising companies who enable us to communicate with you.
- IT service providers who support our organisation's IT systems, including our website and practice management systems.
- Third party suppliers, who we work with in order to deliver products and services. These include but are not limited to IT companies and service providers (such as data partners, providers of analytical services and data and providers of website hosting services) that support our business and help us with analysis and insights to continuously improve the service that we offer, and advertising, marketing, digital and social media companies (such as Meta and Google) to help us direct our online advertising towards recipients who we think may be interested in those products and services.
International transfers
If personal data is transferred outside the UK and the European Economic Area ("EEA") where local laws may not provide legal protection for personal data in the same way as is applicable in the UK or the EEA. We may transfer personal data outside the UK or to an international organisation only on the basis that that country, territory or organisation is designated as having an adequate level of protection, has appropriate safeguards in place to ensure the protection of the data, or that one or more of the derogations recognised by data protection laws for specific situations have been met..
Retention
We will only retain your personal data for as long as is necessary to fulfil the purposes for which it was collected and processed, including for the purposes of satisfying any legal, tax, health and safety, reporting or accounting requirements. This means your personal data will be erased from our systems when we no longer need it for those purposes.
Security
We apply technical and organisational measures appropriate to the risks of running the Draw and storing contact details.
Cookies
